Sofia wanted a standout celebration for her 40th birthday — one that would feel joyful, inclusive, and bursting with colour. Her vision was a South American-inspired afternoon party where family and friends of all ages could come together, relax, eat, dance, and enjoy immersive entertainment. The brief called for flair and finesse with a strong thematic thread — but also comfort and ease for children and older guests alike.
💡 Our Creative Approach
We designed and delivered a vibrant, detail-rich afternoon celebration at The Willow Suite, Rayleigh Club. From the moment guests arrived, they were greeted with bold colour, tropical energy, and a hint of carnival magic. The space was transformed into a warm-toned, samba-spirited experience through balloons, feathers, food and movement.
Experience Highlights:
🌈 South American Décor: From ceiling balloons and floor displays in vivid oranges, yellows and reds, to ostrich feather table vases and felt bunting, the room was bathed in warmth and rhythm.
🍔 BBQ Buffet: A premium barbecue with full dietary consideration (including vegan, gluten-free, and children’s options) created a relaxed, sociable dining atmosphere.
🪩 Magic Mirror Booth: Fully interactive with props, prints for everyone, a gold floral frame, rope barriers, and a guestbook, adding glamour and fun in equal measure.
💃 Live Brazilian Dancers: A three-performer set with bold costumes, choreographed routines, and interactive audience participation turned the room into a mini Rio Carnival.
🎂 Layered Celebration Cake: A tall, butter-icing showstopper tiered cake, styled for visual impact and sliced to serve over 100 guests
🚧 Event Challenges
This event needed to be family-friendly without compromising on wow-factor. We had to work within a strict venue timeline (14:00–19:00), accommodate a wide range of ages, and balance visual impact with guest comfort. Clear planning and vendor coordination were key, especially around the dancers’ technical and costume needs, and the children’s play areas brought in by the client.

- On-site coordination across set-up, supplier handovers, and live execution.
